Terms of Service

Last updated: October 2025

These Terms of Service govern your engagement with LABDOC (Pty) Ltd and our testing, investigation, and materials analysis services. By submitting samples, requesting quotes, or using our services, you agree to these terms.

By accessing or using labdoc.co.za (the "Site") or any service offered by LABDOC (Pty) Ltd ("we", "us"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, please discontinue use immediately.

  • Client - any person or entity that submits samples, requests quotes, or engages our services.
  • Sample - any physical material submitted to LABDOC for testing, analysis, or investigation.
  • Report - any test result, certificate, or written output issued by LABDOC.

LABDOC provides materials testing, site investigation, and laboratory testing services under SANAS Facility No. T0875 and SANS/ISO 17025:2017 criteria. All testing is performed in accordance with applicable SANS methods as confirmed at the time of engagement. Any deviation from standard methods will be documented in the issued report.

All quotes are valid for 30 days unless otherwise stated. Quoted rates are in South African Rand (ZAR). Pricing is determined by test method, sample volume, turnaround requirement, and site location where applicable. LABDOC reserves the right to revise quotes if the scope of work changes.

Payment is due on delivery of the test report unless prior credit terms have been agreed in writing. We accept EFT, cash, and card payments. LABDOC reserves the right to withhold reports until payment has been received in full.

Clients are responsible for ensuring samples are correctly labelled, packaged, and accompanied by a completed submission form. LABDOC is not responsible for samples lost or damaged in transit. Once received, samples are logged into our tracking system and stored under controlled conditions.

All tests are performed under SANAS-accredited procedures where applicable. Reports are issued as signed PDFs with method references, test data, and technical signatory approval. Reports are issued for the specific sample tested and are not transferable to other samples, batches, or projects unless explicitly stated.

Standard turnaround is 5 to 10 working days depending on the method. Turnaround times are estimates and not guarantees. LABDOC is not liable for delays caused by equipment failure, power outages, missing information, or events beyond our reasonable control.

Testing orders may be cancelled before testing begins at no charge. Once testing has commenced, LABDOC reserves the right to charge for work completed. Cancellation must be confirmed in writing.

Samples are retained for 30 days after report issue, unless a different retention period has been agreed in writing. After this period, samples are disposed of in accordance with applicable environmental regulations. Clients wishing to collect samples must arrange this before the retention period ends.

Our maximum liability arising from any service is limited to the total amount paid by the Client for that specific engagement, to the extent permitted by law. LABDOC is not liable for consequential, indirect, or incidental damages, including project delays or downstream costs arising from test results.

Neither party is liable for delay or failure to perform caused by events beyond reasonable control, including load-shedding, strikes, pandemics, equipment failure, or government restrictions.

All Site content is © LABDOC (Pty) Ltd. You may view or print pages for personal, non-commercial use only. Test reports remain the property of the Client once paid for in full, but LABDOC retains the right to use anonymised data for statistical, quality, and accreditation purposes.

LABDOC treats all Client information, project details, and test results as confidential. We do not disclose Client information to third parties without consent, except where required by law, by SANAS or a regulatory body, or in aggregate anonymised form.

Nothing in these Terms limits any rights you may have under the Consumer Protection Act 68 of 2008 or other applicable South African law. Where these Terms conflict with such legislation, the legislation prevails.

LABDOC processes personal information in accordance with the Protection of Personal Information Act (POPIA). We collect only the personal data necessary to provide our services. You have the right to access, correct, or request deletion of your personal information, and to lodge a complaint with the Information Regulator of South Africa.

These Terms are governed by the laws of the Republic of South Africa. Any dispute should first be raised through our internal complaints procedure. If unresolved, disputes will be submitted to the appropriate court having jurisdiction in Vereeniging, Gauteng, based on the nature and value of the claim.
